Most small salons and barbershops don't lose clients to a competitor's offer. They lose them because nobody asked them to come back. This guide is a 10-minute weekly routine for rebooking regular clients on WhatsApp, plus a clear way to work out staff commission when your prices include VAT. It is general information, not legal, employment or tax advice.

1. Give every regular client a "usual gap"

A skin fade might be every 2–3 weeks, a beard trim every 2, colour every 6–8. Note each regular's usual gap in days. A client is due soon when the days since their last visit are close to that gap, and overdue when they are past it. Past two or three gaps, treat them as lapsed and send a friendlier "we miss you" message rather than a reminder.

2. Send the message in the client's language

Keep short templates in English and Arabic for four moments: time to rebook, the day-before reminder, after a no-show, and lapsed clients. WhatsApp's own click to chat link format (https://wa.me/<number>?text=…, number with country code and no plus sign) opens a chat with the message ready; you still check it and press send. Only message clients who gave you their number for appointments, and stop when they ask.

MomentEnglish (example)
Time to rebookHi Omar, it's been about 3 weeks since your haircut + beard. Shall we book you in this week?
After a no-showHi Omar, we missed you today. Would you like a new time?

The free WhatsApp rebooking message maker writes these in English or Arabic with the client's name, service and your salon name.

3. Track no-shows, and ask for a deposit after two

Write down each no-show and late cancellation against the client. Many salons ask for a deposit after a set number of no-shows. Whatever rule you choose, apply it consistently and tell clients in advance.

4. Commission: take VAT out first

The UAE standard VAT rate is 5% (Ministry of Finance). If your menu prices include VAT, the salon keeps the price ÷ 1.05; the rest is VAT. Many salons pay commission on the amount before VAT and after discounts, but your staff contracts decide. Example: AED 1,575 of services paid by clients including VAT is AED 1,500 before VAT; at 40% commission that's AED 600, not AED 630.

If you pay a target bonus, be clear whether the extra percentage applies to everything or only to the amount above the target. The free salon commission calculator handles both VAT options and a bonus above target for each person.

5. One client book instead of five lists

If you'd rather keep visits, rebooking dates, messages, no-shows and commission in one file, the optional Salon & Barbershop Client Book (Excel / Google Sheets, English + Arabic, $29 Salon / $59 Pro, one-off, 14-day money-back guarantee) does it from the visits you enter. It's not a booking system and charges no commission on your clients.
