Most freelancers and solo consultants do not need a full CRM. What slips is simpler: who you last emailed, who is waiting on your reply, and who went quiet. A Google Sheet can hold that list – the missing piece is keeping the "last contacted" column honest without typing it by hand.

What "follow-up tracking" actually needs

Pipelines, open tracking, sequences and shared team reporting are useful later. They are not the first job.

Why a full CRM is often the wrong first tool

A Sheet-based pattern that stays honest

  1. Keep contacts in Google Sheets (email, stage, next follow-up, notes).
  2. Let a small Apps Script in your own account read Gmail for those addresses and write last contacted, who wrote last, subject and a thread link.
  3. Use a plain status formula (Needs reply / Overdue / Gone cold) so Excel and Sheets both work if you export.
  4. On a paid tier, schedule a morning sync and a digest email from your own Gmail.

Your data stays in your Drive. There is no CRM server holding the client list.

Limits to be honest about
